Job Description

Job Summary

The Administrative Assistant will support the clinic's daily non-clinical operations, assisting nurses with tasks such as supply ordering, medication receiving, divisional scheduling, and data entry. This role is crucial to ensuring the smooth and efficient functioning of the clinic, allowing healthcare professionals to focus on patient care.

Duties And Responsibilities

  • Manage inventory and order supplies as needed.
  • Receive and verify medication deliveries, ensuring proper storage and documentation.
  • Assist with scheduling appointments.
  • Provide intake and data entry support to the scheduling team.
  • Ensure data integrity and confidentiality.
  • Provide general administrative support, including answering phones, greeting visitors, and handling correspondence.
  • Maintain a clean and organized work environment.
  • Ensure compliance with clinic policies and procedures. Assist with the setup and maintenance of office equipment.
  • Act as a liaison between the clinic staff, patients, and external vendors.
  • Facilitate effective communication and collaboration within the clinic.
  • Maintain accurate and up-to-date records of clinic operations, including inventory logs, and scheduling records.
  • Provide excellent customer service to patients and visitors. Address inquiries and resolve issues promptly and professionally.
  • Complete all other tasks as requested.

Qualifications

Education

  • High school diploma.
  • Certification in office administration or healthcare administration preferred.

Other Skills And Abilities

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to communicate in English and French an asset.
  • Strong organizational and multitasking skills, with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work in both an independent and team environment.
  • Strong organization skills.
  • Ability to handle confidential information with discretion.
  • Strong problem-solving skills and ability to prioritize tasks effectively.
  • Flexibility to adapt to changing priorities and clinic needs.
  • Knowledge of medical terminology and clinic operations is an asset.
