Job Purpose Reporting to the Director/Senior Director, Office of the CIO, the Associate will be passionate about building their career in investments and supporting investment teams in executing on their strategy. They will be responsible for providing day-to-day BAU operational support to the Office of the CIO (OCIO) team including investment committee governance and support, pipeline monitoring and reporting, KPI tracking and insights, support preparation of presentation materials, offsite and events planning, special projects, and other operational tasks as required. This position offers the candidate an excellent opportunity to learn about various asset classes across the investments department, and combine their business knowledge and analytical acumen to meet deliverables in a timely matter. The successful candidate should possess enthusiasm to take on new tasks, willingness to learn, strong attention to detail, and strong data skills help support the OCIO team.
Major Responsibilities
- Act as the first point of contact for the OCIO team for internal and external BAU and ad-hoc requests, triage and escalate issues as required.
- Support facilitation of IMCO’s Investment Committees including preparing committee materials, managing quorum and approvals
- Support and maintain regular analysis and KPI reporting for the OCIO team, as well as collaborate across the front office investment teams for reporting and analysis.
- Manage and report on investment transaction history and pipeline, ensuring data quality and accuracy of reporting.
- Support and facilitate delivery of key projects, and initiatives for the team. This can include preparing reports, analysis, supporting project communications, documentation, timelines, and keeping a sightline of milestones.
- Assist in improving on current business processes impacting the team, including identifying areas of opportunity for efficiency and streamlining areas where appropriate.
- Support coordination and planning for Front Office events and meetings including town halls and offsites.
- Liaise with various departments across the organization while representing OCIO in a positive and professional manner.
- Facilitate a culture of open and honest communication.
- Build effective working relationships across the team and with various business partners.
- Support any other ad-hoc initiatives, as required.
Working Conditions
- Work is performed in a hybrid work environment, with an average of 3 days per week spent in the office.
- The job requires frequent periods of continued concentration to ensure the accuracy and completeness of investment information and to evaluate and resolve complex issues or problems.
Job Requirements
- University degree in Business or a related discipline
- Minimum of 2 to 4 years of relevant work experience within the financial services and investments industry would be considered an asset
- Excellent verbal and written communication skills with the ability to effectively communicate with team members at all levels of the organization and external clients and third parties
- Ability to work with large datasets in excel and strong analytical skills to synthesize complex data into actionable results
- Strong time management skills and detail-oriented by nature
- Ability to work with a collaborative and team-oriented focus, possess a professional demeanor, as well as act with a sense of urgency
- Strong commitment to utilize judgement to manage confidential and sensitive information with integrity and discretion.
- Strong interpersonal and relationship building skills
- Ability to display a proactive approach to support team objectives and new initiatives, as applicable
- Ability to prioritize and multi-task in an ever-changing environment, demonstrates ability to manage competing demands with time-sensitive deadlines
- Strong business acumen
- Intermediate/advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, etc.)
- Experience with Office 365 platform (SharePoint, Microsoft Teams etc.) considered an asset.
