We are seeking a detail-oriented and proactive Campaign Coordinator to join our team. The Campaign Coordinator will be responsible for overseeing the successful implementation, execution, and reporting of client campaigns, ensuring smooth processes from initial agreement to campaign end/renewal. The ideal candidate will have strong organisational skills, excellent communication abilities, and experience managing multiple tasks simultaneously.
Key Responsibilities:
Collaborate with the Sales Manager to request billing details from clients. Once received, send an agreement for signing via PandaDoc.
Upon signing, add a line item to the Master of Sales sheet.
Add invoice line items to the Billing Schedule and HubSpot, and move the corresponding HubSpot card to "Closed Won."
Ensure the signed agreement is emailed to the Accounts team, Tom, Georgie, and the Sales Manager.
Save the signed agreement in the Google Drive for future reference.
Create a Trello card on the A&D Performance Board to track campaign tasks and milestones.
Schedule the Premium or Plus products in the Marketing Planner and download the Booking Summary for records.
Send the Project Upload Form, Campaign Copy Link, BVOD Requirements (if applicable), and the Booking Summary to the client in a timely manner.
Upload the project listing to the A&D Dashboard.
Share the project listing draft link with the client for approval and make any necessary revisions.
Create a new on-site eDM for campaign promotion.
Request performance ad copy from the Performance team through the Trello A&D Performance Board for timely ad creation.
Set the project listing live and ensure all campaign elements are visible and operational.
Create a Trello card under "Social Posts + AI Videos" on the Social & Editorial Board for campaign-related content.
Build, schedule, and ensure timely delivery of SMS, MMS, Sponsored eDMs, and newsletters as part of the campaign.
Follow up on scheduled products and approval requests ahead of the deadlines to avoid delays.
Provide weekly/fortnightly reports on live campaigns, summarising performance and key metrics.
Remind the Sales Manager about upcoming campaign renewals and ensure proper follow-up.
If the campaign is renewing, issue the necessary sales agreement to the client.
If the campaign is not renewed or the expiration date has passed, archive the project listing and switch off Performance Ads by posting on the Trello A&D Performance Board.
Qualifications & Skills:
Proven experience in a campaign coordination role or a similar administrative/marketing role.
Strong knowledge of project management tools such as Trello and HubSpot.
Ability to manage multiple projects and deadlines efficiently.
Strong attention to detail with excellent organizational and time-management skills.
Excellent verbal and written communication skills.
Proficient in using Google Drive, PandaDoc, and basic office software (e.g., Google Workspace).
Experience with eDM creation through Mailchimp, SMS, and MMS is a plus.
Strong problem-solving abilities and adaptability in a fast-paced environment
