Job Description

Campus Living offers a wide variety of student programs, promoting an inclusive community that engages students in exceptional living and learning experiences within a diverse environment that fosters a sense of belonging. During the academic year, accommodation is provided to full and part-time students and families, and to conference and short-term hostel guests over the summer months.

The Campus Living Assistant is a full-time continuing position tasked with providing excellent front-line assistance. In addition to customer service, they are responsible for receiving and passing on student requests, check ins/outs, issuing keys, submitting facilities requests, processing resident payments, and performing end of day cash out. This position also provides administrative support, assistance to the Manager of Campus Living, and acts as a general resource for Resident Advisors.

Responsibilities:

  • Responds to inquiries from residents, parents, faculty, administration, and community members.
  • Interprets policies, procedures, and regulations and provides assistance to staff, students and the public.
  • Accepts and processes payments.
  • Processes and distributes mail and packages to residents. Reviews, monitors and redistributes returned mail from residence buildings.
  • Drafts and sends out mass and individual communications to residents.
  • Creates posters for announcements, signage, and important deadlines.
  • Performs daily end of bank process, submitting required documents and deposit to Financial Services.
  • Maintains student files.
  • Maintains an inventory of office supplies and organizes purchase orders.
  • Accepts documents and resolves student complaints and concerns.
  • Accepts Meal Plan Adjustment Request forms from residents on behalf of management.
  • Acts as a contact between Campus Living and:
    • Financial services (wire transfers, refunds, wire payments, etc.)
    • Diversity Foods (meal contracts, meal plan balances, etc.)
    • Event services (booking spaces, audio, etc.)
    • International Student Services (specific student needs)
    • Aboriginal Student Services Centre (specific student needs)
  • Provides prospective residents, current residents, Resident Advisors and the public with appropriate documents and support including specialized information on resources available on campus and in the community.
  • Schedules and provides residence tours.
  • Assists the Residence Admissions Coordinator with Campus Living recruitment, including on and off campus events.
  • Assigns, updates and cancels necessary Salto access.
  • Reviews, accepts and schedules individual requests for specific move in/out appointments.
  • Assists the Residence Admissions Coordinator in creating residence check in/out packages and room change packages for mass move ins/outs.
  • Brings forward student complaints, requests, issues and emergencies received through the front desk to the Manager/Director.
  • Assigns tasks and acts as a general resource to the Resident Advisors.
  • Assists Manager with organization of Resident Advisor hiring, training and professional development opportunities.
  • Assists Residence Admissions Coordinator with summer hostel operations.
  • Sets up rooms for short-term guests and assists with linen turnover. Organizes clean and dirty linen for laundry services and assists with linen room organization.
  • Forwards and communicates all maintenance requests and concerns that are received in-person and email to Facilities.

Qualifications:

  • A High School diploma or equivalent is required.
  • Administrative and customer service experience required.
  • Experience handling cash and processing payments required.
  • Understanding of the applications of technology to Campus Living functions
  • Ability to plan strategically, to implement plans and to assess their effectiveness.
  • Excellent verbal and written communication skills; public speaking and group facilitation skills; interpersonal, problem solving, and decision making skills.
  • Proficient in the use of Campus Living Software (e.g., StarRez), word processing, presentation and spread sheet software.
  • Attention to detail is required and the ability to multi-task.
  • Excellent organization skills in a high pace environment.
  • Ability to relate well to students, parents, staff, Faculty, and general public.
  • Familiarity with University policies and procedures preferred.

An equivalent combination of education, experience, skills, knowledge and abilities may be considered.

Condition(s) of Employment:

  • Must be legally entitled to work in Canada.
  • Ability to work overtime preferred (occasional overtime and weekend shifts are required during peak periods).
  • Must be able to work some evening and weekend hours, as requested.
  • Must provide successful clearance of the Child Abuse Registry and Police Information Check. Please note, the responsibility for both lies with the applicant.

The salary range for this position will be from $37,073.40 to $51,178.40 annually.
