About us:

Keith C.A. Frank & Associates is an immigration law practice that has been in existence for over 40 years. The firm represents clients in all 15 facets of immigration law, including hearings before the Immigration and Refugee Board (IRB) of Canada.

Description:

Looking to add a dependable, adaptable and highly organized individual to assist in a small, busy immigration practice.

This is a full-time position on-site, 5 days a week, Monday to Friday.

The Ideal Candidate Has:

  • Excellent problem-solving skills and the ability to be resourceful, organized, and work with minimal instruction or supervision;
  • The ability to work within tight timelines to meet deadlines, prioritizing, and reassessing priorities as needed;
  • The ability to be proactive and take initiative in anticipation of the next steps on an assigned task;
  • A Must: Be well-versed in Canadian immigration law while staying up-to-date on ever-changing IRCC regulations & policies and IMM forms;
  • Strong communication skills (both verbal and written) when dealing with counsel, colleagues, clients, and third parties;
  • Excellent spelling, grammar, proofreading skills, and strong attention to detail;
  • A willingness to learn;
  • Ability to remain calm under pressure;
  • Positive, proactive, team player attitude with a strong commitment to client service;
  • Strong professionalism with clients by email or speaking with them in person;
  • Solid typing skills and strong proficiency in IRCC Portals (a must), strong familiarity with IMM forms, Microsoft Office, Adobe, One Drive.

Responsibilities Include:

  • Completing initial file opening and closing of client file tasks;
  • Organizing, maintaining and managing physical and electronic client files;
  • Obtaining and requesting information and documentation from clients;
  • Maintaining client relations via email, letters and phone calls;
  • Redacting legal documents such as Affidavit of Documents, Letters of Submission;
  • Booking Zoom calls, interview meetings, follow-up calls with clients;
  • Organizing and scheduling appointments when needed by Counsel;
  • Practicing discretion in all matters;
  • Handling sensitive or confidential information in accordance with legal confidentiality regulations;
  • Transcribing/Copying/Printing/Faxing documents;
  • Building strong working relationship with clients and contacts;
  • Answering phone calls, taking notes, and directing calls, as needed;
  • Performing all other duties assigned.

Requirements:

  • Immigration Legal Assistant Certificate or Law Clerk Diploma required or 2+ years of Immigration Law experience and Legal clerical work.

Job Type: Full-time

Pay: $20.00-$25.00 per hour
