Your new company  

Hays Specialist Recruitment has partnered with a Real Estate organization in Vancouver, BC. We are seeking an
Executive Administrator to join their team immediately. This is a 3 month contract, with high potential to become a fixed term contract (15 month total) . This is a full time role, Monday to Friday and fully on site 

Your new role  

  • Independently and proactively organize, coordinate and prioritize incoming and outgoing information and correspondence from executives, property managers, brokers and commercial tenants
  • Interact with property managers and respond appropriately to situations that require a quick turnaround
  • Prepare and maintain records for property non-routine expenses and capital projects, ensuring ongoing projects are on track and any risks have been identified
  • Prepare routine correspondence and reports including weekly occupancy reports and property and personnel reports
  • Coordinate and attend bi-weekly meetings, including preparing meeting materials, taking minutes, highlighting action items, and ensuring deadlines are met
  • Coordinate meetings (quarterly board meetings, annual budget meetings), conference calls, video conferences and property site visits, including booking meeting rooms, travel and accommodations and arranging for catering as required
  • Obtain invoices for real estate matters, including property tax assessments, and ensure these are authorized and submitted to accounting for payment
  • Summarize and track insurance claims and property tax assessments
  • Confidentially maintain real estate team’s calendars, appointments, travel arrangements and files
  • General filing, photocopy and creating PDF files

What you'll need to succeed  

  • Previous experience in an administrative capacity
  • Must possess excellent oral and written communication skills; demonstrated ability to communicate and respond effectively to inquiries, both verbally and in writing
  • High level of accuracy and attention to detail needed
  • Proficient in MS Office (Excel, Word and PowerPoint)
  • Team player with a willingness to learn and a great attitude

starts off as a contract, and will convert to a fixed term contract for the remaining of the coverage. The hourly rate is between $30-$38 per hour, and you can available for health benefits and vacation after 6 months.
