Job Description

Levert Personnel is hiring a Schedule Coordinator for a permanent position in our Sudbury office. As a Schedule Coordinator, you will play a critical role in ensuring smooth and timely workforce placements for our key mining clients and contractors. You will be responsible for coordinating both pre-planned and last-minute shift coverage, making you an essential part of our day-to-day operations.

About the Job:

Key Responsibilities:

  • Collaborate closely with the Operations team to schedule contract employees for planned shifts and urgent, short-notice staffing needs.
  • Act as a central liaison between Recruitment, Sales, Account Management, and Administrative teams, fostering strong internal relationships to support operational success.
  • Manage and maintain ongoing communication with Levert contract employees to ensure availability, readiness, and fitness for work.
  • Partner with the Recruitment team to ensure a consistent pool of qualified and compliant workers is available to meet client needs.
  • Coordinate with the Administrative team to verify that employee certifications, safety training, and onboarding requirements are current and meet client site compliance standards.
  • Proactively monitor and escalate any critical issues that could impact successful shift coverage or client satisfaction.
  • Build and maintain strong working relationships with key stakeholders to ensure our mining clients receive exceptional service and workforce solutions.
  • Collaborate with HR and Health & Safety departments to report and address any workforce-related incidents or concerns promptly.
  • Flexibility is essential — availability outside regular business hours (including evenings and weekends) is required to meet the operational demands of our mining clients, especially for short-notice placements.

What you need:

Education & Experience

  • Post-secondary education in Business Administration, Human Resources, or a related field (or equivalent work experience).
  • 1–3 years of experience in scheduling, workforce coordination, staffing, or recruitment (experience in a unionized or industrial environment is an asset).
  • Familiarity with mining, industrial, or skilled trades sectors is strongly preferred.
  • Experience using Applicant Tracking Systems (ATS) or scheduling software is an asset.

Technical Skills

  • Strong computer proficiency, including Microsoft Excel, Outlook, and scheduling platforms
  • Knowledge of compliance tracking systems (e.g., for training, certifications, or site requirements).
  • Comfortable using databases and communication tools to manage large volumes of workers and shifts.

  • Excellent organizational and time-management skills; able to manage competing priorities and urgent requests.
  • Strong communication and interpersonal skills — confident when dealing with both clients and frontline workers.
  • Ability to thrive in a fast-paced, high-pressure environment, especially during off-hours or emergency placements.
  • Proactive problem solver with keen attention to detail and accuracy.
  • Strong team player who can collaborate cross-functionally with recruitment, HR, admin, and operations teams.

Other Requirements

  • Flexibility to work evenings, weekends (as needed to support last minute urgent requests)
  • Valid driver’s license and reliable transportation is required
