The Role

Cineflix is currently looking for an experienced, eager and personable Human Resources Coordinator . This is a full-time position based in our Toronto office .

Reporting to the Director of Human Resources, the Coordinator will work with and support the Cineflix HR team, by providing HR services to Cineflix staff globally. The Coordinator will be primarily responsible for areas such as full-cycle recruitment, department and staff project creation, coordination, implementation and maintenance, administration and data management.

Duties and Responsibilities

  • Recruitment/Onboarding : assist with full-cycle recruitment, prepare and finalize job descriptions, post adverts online, review and triage resumes to compile top candidates, schedule interviews, conduct interviews, liaise with hiring managers on candidate recommendations, conduct reference checks, present offers, assist with onboarding tasks including welcome gifts, buddy program, early days check-ins, probation evaluations, etc.;
  • Employment Paperwork : assist in drafting various employment agreements based on templates including letters of offer, contracts, extensions, amendments, leaves (sick, parental, etc.);
  • Reporting : compile various reports using internal datasheets and company database (BambooHR) including vacation tracking, employee satisfaction results, benefits/payroll, headcount, year-end reporting, etc.;
  • HR Communication : act as the author and editor of the monthly staff newsletter curating and writing content, prepare emails and posters for staff communication such as events, policy changes, announcements, etc.;
  • Project Planning and Management : Work closely with the HR Director on development, implementation, coordination and maintenance of special projects (long-term and short-term) including DE&I initiatives, employee satisfaction initiatives, internal department practices and procedures, mentorship/internships programs, training and development initiatives, etc.;
  • Social Committee Management and Event Coordination : act as the head of the Toronto social committee, plan, coordinate and manage all Toronto staff events, secure venues and vendors, manage event budgets, coordinate and set up weekly snacks for Toronto office, work with the HR team to assist with the events for all Cineflix offices;
  • Administrative Support : various admin tasks such expense reporting, preparing departmental and company organizational diagrams, filing, database headcount maintenance, staff annual reviews tracking and filing, answering employee inquires or directing them to the proper channels, other admin tasks as directed by the Director of HR.

Skills and Qualifications

  • Must have high proficiency on Mac and Microsoft office programs especially Excel, Word and Teams/SharePoint
  • Experience with design programming such as Canva is an asset
  • Experience working with a database system (HRIS), prior experience with BambooHR is an asset
  • Creative writing experience is an asset
  • Must have project coordination experience
  • Must have full-cycle recruitment experience
  • Highly organized, and strong attention to detail
  • Strong interpersonal skills
  • Strong work ethic
  • Strong time management skills, and able to problem solve under tight deadlines
  • Able to work quickly and accurately
  • Ability to communicate clearly and concisely
