Job Description

Reporting to the Leasing team and working in tandem with the Lease Coordinator and the principals of the company as well as the Director of Operations, this position is responsible for supporting our leasing efforts where needed.

RESPONSIBILITIES

  • Draft agreements to lease, lease amending and extending agreements, estoppel certificates, surrender agreements and other documents as required;
  • Complete lease summaries and status reports and enter relevant lease-related information onto SharePoint to be accessible by the field; 
  • Summarize leases and related documentation as part of acquisition due diligence;
  • Track and waive conditions to ensure due dates are met;
  • Liaise with tenant’s legal counsel; 
  • Provide, manage and update lease activity reports; 
  • Undertake financial reviews on owned and leased properties; 
  • Ensure through coordination with operations and property managers that all lease-related transactions like property rent, property insurance and common area charges are properly recorded; 
  • Preparation and circulation of lease abstracts;
  • Other duties / projects as required;
  • Turnaround expectation on documents is to be no more than three business days;
  • Lease review and abstracting, accounting and processing, lease audits, CAM charges, lease renewal options; 
  • Repairs and maintenance, information management and reporting,
    occupancy cost
    analysis, operating expense;
  • Review, and document storage and maintenance;
  • Once a lease is in place, lease administrators continue to manage and monitor rental payments, coordinate any;
  • Tenant alterations with internal Ops dept, and handle lease amendments when necessary.

SKILLS AND EXPERIENCE

  • Excellent attention to detail and ability to work at a fast pace with limited supervision
  • Solid written/communication/proofreading skills
  • Previous experience working with commercial or retail real estate documents
  • Strong organizational and team work skills
  • Excellent knowledge of MS Office, Word, Excel and familiarity with real estate software such as Yardi
  • Law clerk or experience in Lease Administration required
